✅Key Responsibilities
Billing Support & Query Resolution: Serve as the dedicated point of contact for all billing and invoice-related inquiries via email and phone. Explain complex software subscription invoices clearly, provide account statements, and issue copies upon request. Account Administration: Manage customer contacts, including adding, editing, and deleting profiles. Set up new billing accounts aligned with specific contract pricing and terms. Transaction Management: Process partial or full refunds, create credit notes, and manage overpayments using internal systems. Collections & Recovery: Proactively follow up on past-due payments, collect outstanding balances, and initiate the account suspension process in accordance with company policy. Retention & Cancellation Management: Engage with customers requesting cancellation to understand their pain points, propose viable solutions, and actively persuade them to continue using our software. Cross-functional Collaboration: Work closely with internal teams to ensure billing accuracy and provide feedback on recurring customer issues.

✅ Qualification & Skills
Essential Experience: Industry Knowledge: Proven experience managing recurring invoicing and billing operations specifically for software products. Experience: 3–5 years in a customer support specialist role. Billing Expertise: 3+ years of dedicated experience in billing or invoice-based support, handling both recurring subscriptions and one-time service invoices. Communication: 2+ years of experience delivering support via email or chat platforms.
Technical Tool Proficiency
Ticketing Systems: Must have hands-on experience with at least one ticketing tool (e.g., Zendesk, Freshdesk, Helpscout, Zoho Desk, Groove).
Accounting Platforms: Working knowledge of accounting tools to locate, create, and reconcile invoices and credit notes (e.g., Xero, QuickBooks, Sage, NetSuite).
Payment Processors: Experience navigating payment gateways for refunds and transaction lookups (e.g., Stripe, Square, PayPal, Authorize.net, Braintree).
Soft Skills & Mindset High emotional intelligence with a proven ability to de-escalate tense financial conversations. Persuasive communication style with a focus on retention, not just transaction processing. Exceptional attention to detail regarding numbers, contract tiers, and money movement. Comfortable working independently under Eastern Time (ET) hours.
